Driving logs – from journeys to useful records

Once the transmitter is installed and the vehicle is operating in the system, journeys are recorded automatically. The driving log shows details such as dates, distance and start/end addresses. Filter journeys and review their details afterwards.

Open a journey and choose Private or Business. Classification can also be changed in the app. Recurring schedules are set under Classification rules. The private-only setting is only for vehicles always used privately.

Export driving-log records for administration and accounting. You still need to review classification and add the journey purpose or other missing details. Automatic recording does not replace your responsibility for accurate records.

Vehicle overview – correct details for each vehicle

The overview brings together vehicles, drivers and journeys. The map helps you see vehicle positions; check the correct vehicle and its Online status during setup.

Enter registration, odometer reading and vehicle details in the vehicle view. You can also add a service interval and select an owner so journeys are assigned to that person. Accurate details help organise a multi-vehicle operation.

Users, roles and departments

Decide which drivers and supervisors need access. The manual covers users and roles, including restricting supervisor access to the relevant department.

Appropriate access helps allocate responsibility without everyone seeing the same information. Decide who reviews journeys, supports drivers and follows up missing details. Use location data with respect for drivers' privacy.

Transmitters and getting started

Vehicle-based recording uses OBD or battery-connected transmitters. Follow the instructions for your model and vehicle. Axentra prelinks the transmitter's IMEI and prepares the vehicle; replace example registration details and enter your own vehicle information.

The administrator creates a password through the welcome email. After installation, wait until the correct vehicle is Online and its position is accurate. A lit or blinking indicator shows power but does not by itself confirm readiness.

Then make a short test journey and review it after stopping. Check vehicle, date, distance and classification. Contact Axentra if details are missing or incorrect. Installation and startup vary; do not use the system while driving.

Work planning – a separate platform service

Businesses choosing work planning can schedule work and assign tasks per worker through the web interface. Workers use the mobile app to document completed tasks with photos and notes.

Import customer lists from Excel, reset lists for the next round and download seasonal records as Excel. This helps supervisors follow up completed and outstanding work.

Driving logs and work planning can be used separately or together. Having both in the platform does not mean work planning is included in the driving-log subscription's starting price.

How it can help daily work

Drivers get a clear task: review the journey and choose a category instead of writing the entire journey from scratch. Administrators can collect and review records and export them when needed.

Supervisors can combine the vehicle overview with planning tasks and documentation when using both services. An illustrative example is a service business where drivers review daily journeys while supervisors follow up documented tasks. This is a workflow example, not a customer case or a time-saving guarantee.
